Privacy is not a setting. It is the foundation.

Scope. This notice covers information submitted through the Saturn House website, applications, nominations, the member portal, the concierge and member assistant, gatherings, partnership and venue enquiries, and the private introduction service.

What we collect. Contact and professional details; application and nomination responses; profile and visibility preferences; gathering attendance; introduction requests; correspondence with the house; and the text a person chooses to send to the concierge or member assistant. We do not buy personal data and we do not scrape social platforms to build profiles.

Why we use it. To answer enquiries, assess applications, administer membership, compose gatherings, consider requested introductions, protect the community, and send communications a person has asked for or would reasonably expect. We do not sell personal information and we run no advertising model.

Legal bases. Where data-protection law such as the UK GDPR, EU GDPR, the Swiss FADP, Singapore's PDPA or Hong Kong's PDPO applies, we rely on your consent (for marketing and optional visibility), the performance of our agreement with members, our legitimate interests in operating a curated private community and protecting it, and compliance with legal obligations.

Nominations and third-party information. When you nominate someone, you confirm you have a reasonable basis to share their professional contact details with us. We use a nomination only to evaluate membership and to make related contact, we tell the nominated person how we came to contact them if we approach them, and we delete the nomination on their request. Nominations are restricted to authorised review and may be disclosed where applicable law requires it.

How AI is used. The concierge and member assistant are AI-assisted. They process only the text you submit in those conversations together with public Saturn House information needed to answer. They are not given the member directory, introduction records or application files to browse. No AI system decides membership, approves an introduction, sets a member's visibility or publishes member information: those decisions are made by authorised people. AI providers process conversation text on our behalf under contract and are not permitted to use it to train their own models.

Visibility and discretion. There is no public member directory. Guest lists are private by default. Speakers, partners and venues are published only with their approval. Personal email addresses are never shown publicly, and the internal directory is not indexed by search engines. Private curation and introduction outcome notes are never shown to members or the public.

Service providers and international transfers. We use selected providers for hosting, authentication, database storage, email delivery, error monitoring and AI-assisted conversation. Because the house operates across ten markets, information may be processed in a country other than the one you submitted it from, subject to the safeguards applicable law requires, including standard contractual clauses where relevant.

Retention. We keep information only as long as needed, and longer only where a legal obligation, dispute or community-protection concern requires it.

Security. Access is restricted through authenticated login, role-based permissions enforced in the database rather than only in the interface, database row-level access policies, and audit records for sensitive administrative actions. Administrator accounts are required to use multi-factor authentication.

Your rights. Depending on where you live, you may request access, correction, deletion, restriction, portability, or object to processing, and you may withdraw consent at any time. You can also change your profile visibility and communication preferences in the member portal. Submit a request through privacy and data requests.

Children. Saturn House is intended for professional adults and is not directed at anyone under 18.

Changes. If this notice changes materially we will update the effective date above and notify members through the portal.
